This policy explains how Michael Houlder, REALTOR®, handles information submitted through houlderrealestate.com and the restricted agent workspace.

Public enquiries

When you request a property brief or inquire about a listing, the site may collect your name, email address, telephone number, timeline and the details you choose to provide. It is used to respond, provide real estate services, maintain an accurate conversation record and meet legal or brokerage obligations. It is not sold.

Optional website analytics

With your permission, this site uses Google Analytics 4 to understand visits, interactions, traffic sources and successful enquiries. Google may process online identifiers and usage information outside Canada. Analytics remains off until you choose “Allow analytics.” Clear this site’s local browser storage to reset your preference.

Private agent workspace

The restricted workspace may store leads, listing drafts, CMA records, trade and commission records, supporting documents, mileage, imported bank transactions and planning balances. Access is limited to specifically authorized identities. The workspace organizes records and does not replace legal, appraisal, accounting or tax advice.

Service providers

The service may use OpenAI Sites and Cloudflare for hosting and storage, Google for analytics or email delivery, Plaid for optional read-only financial connections, and authorized real-estate data providers for MLS®/IDX information. Each connection is enabled only when separately configured for this isolated agent instance.

Retention, export and deletion

Records are retained only as long as reasonably required for their purpose and applicable legal, brokerage, tax or regulatory obligations. Requests to access, correct, export or delete information are reviewed against those obligations; deletion is not promised where a lawful record-retention duty applies.

Safeguards and limits

Restricted authentication, separated storage, encrypted provider credentials, request validation and private no-cache controls are used where applicable. No internet service can guarantee absolute security. Suspected misuse should be reported promptly.
